    Available Services:
  • Contact Exhibitors: Horizon will contact exhibitors utilizing client’s current prospect list and actively sell exhibit space with an agreed upon sales goal.
  • Exhibit/Sponsorship Marketing Piece: Horizon will develop, design and produce Exhibit/Sponsor marketing piece including coordination of exhibit hall layout.
  • Confirm Exhibitors and Provide Service Kits: Horizon will send confirmation letters and appropriate information to exhibitors.
  • Review all Exhibitor Contracts: As contracts come in, Horizon will review for completion of data required, assure that organizations exhibiting rules are meet, and review booth choices provided.
  • Coordinate Booth Assignments: Horizon will coordinate with conference committee/staff on assignment of booth spaces.
  • Coordinate Exhibit Hall Set-up with Service Contractors: Horizon will coordinate with service contractors to ensure exhibit hall is set up according to floor plan.
  • Submit Exhibit Hall to Fire Marshal: Horizon will coordinate with service contractors to develop floor plan and to obtain Fire Marshal approval. A copy of approved plan will be provided to facility by Horizon.
  • Bill Outstanding Exhibitors: Horizon will contact and send out invoices for balance dues on exhibits for 60 days after conference. At the end of 60 days accounts will be turned over to the organization for collection.
  • Signage List to Service Contractor: Conference committee/staff will provide Horizon with list of special sign requests. Horizon will order all signage and be onsite to ensure it is placed appropriately.
  • Pre-conference Preparation of Exhibitor Packets: Horizon will produce the contents of the exhibitor packets: badge reply forms, ad sales information, and sponsorship information for distribution to confirmed exhibitors.
  • Coordinate Return of Exhibitor Forms/Pre-sales: Horizon staff will work with conference committee/staff to ensure timely return of exhibitor forms.
  • Develop and Produce Exhibitor Evaluation: Horizon will produce and distribute an exhibitor questionnaire. This may be done electronically or in print format. A summary of responses will be shared with client.
  • Provide Onsite Exhibit Hall Management: An on-site floor manager to be provided by Horizon for the duration of the exposition.
  • List of Attendees to Exhibitors: Horizon will prepare and distribute a list of attendees to exhibitors. The list will be given out according to the clients preference. Pre and/or post conference, to all exhibitors or just sponsors.
  • Review General Service Contractor Charges: Horizon will review service contractor invoice for accuracy.
